 Our Call for Speakers closed on June 14.

Applicants will be notified July 5 if their submission has been selected. Applicants will be notified on a rolling basis after July 5 if space becomes available. If appropriate, we may group speakers in panels to ensure the agenda includes a diverse representation of topics, issues and perspectives.

What is the timeline for submitting proposals and the announcement of decisions?

We will be using the following schedule for submission, selection, and acceptance of Summit sessions:

  • April 3 - Application open for 2019 speakers.

  • June 14 – Submissions deadline.

  • April through June – Agenda Steering Committee review.

  • July 5 - Selected applicants notified.

  • July 19 - Summit speaker acceptance deadline (Summit registration required).

  • October 4 – online submission deadline for presentation and associated materials.

All abstracts submitted by the deadline will be considered. Those received after the deadline will only be considered if space is available. What type of sessions are available?

Keynote & Plenary Sessions
Daily plenary sessions present some of the most inspired thinkers in our industry and from our membership organizations, covering a wide range of compelling topics for our entire audience. These can vary from a single-speaker keynote, a panel discussion with a moderator and up to 4 participants, a fireside chat between two experts, or a series of rapid-fire presentations on a single topic. Please include information on length of proposed session, ranging from 10 to 45 minutes.

Breakout Sessions
These 45-minute sessions on a thematic topic offer the ability to share case studies, experiences, and proven solutions. You may propose a single speaker, co-speakers, or a group of subject matter experts who represent different perspectives and opinions in a given area.

Two-hour, hands-on, in-depth workshops will be offered on Thursday morning that offer advanced level information around a topic or skill and enable participants to gain more expertise in their area of interest. We encourage pre-Summit engagement with workshop registrants to maximize the time and value.

Breakfast Learning Sessions
These 45-minute sponsored learning sessions provide an opportunity to highlight a solution or tool. It is recommended to include a NetHope member in these learning sessions to discuss their best practices for implementation and/or use.

There may be space to provide technical training opportunities on Friday. Training courses resulting in certifications are encouraged but not required. Please be sure to include information on length of proposed training. *Note that acceptance of these sessions will be based on the interest of our members.

What do I need to submit?

Complete session proposals are required for submission.

  • Session information:

    • Type of session - keynote, plenary, break-out, workshop, learning session, training

    • Title

    • Abstract (2,500 characters max) - detailed description of your session to appear in conference materials

    • Objective (1,000 characters max) – What do you want Summit attendees to take away from your session? How will this session contribute to sharing and collaboration between participants?

    • Conference track that best represents your proposal

    • NetHope member and partner organizations represented

  • Speaker information (primary speakers, co-presenters, panelists, etc.)

    • Name

    • Title and Organization

    • Contact information

    • Bio

    • Photo

I haven’t confirmed my speakers yet - can I write TBD?
Speaker information is required with application submission to best evaluate each session. If accepted, speakers can be updated as needed; however, all speakers must be confirmed and registered by the published deadline of July 19, 2019.

Selection Criteria - How does the selection process work? What will set my submission apart?

The Summit Agenda Steering Committee prioritizes presentations that are programmatically broad and diverse as possible, with a focus on our members. This is a competitive process – more than 200 submissions were received in 2018 for approximately 100 speaking opportunities.

The Committee uses a rigorous peer review process to select abstracts. Speakers are selected on a competitive basis using the information provided in the application, with a focus on the following criteria:

  • Clarity of the submitted abstract and relevance to the Summit theme

  • Topics that will inspire attendees to engage in dialogue and contribute to the development of shared learnings across members, to include:

    • Concrete examples of solution implementation, challenges, and best practices.

    • Verifiable results and impact of the project/solution.

  • Inclusion of NetHope members as session speakers.

  • Diversity of speaker: this includes but is not limited to gender, age, previous participation as a speaker, organization represented, and region where speaker is based.

What should I expect if my session is accepted?

All those offered speaking opportunities must confirm acceptance by the published deadline of July 19, 2019 by submitting required information and paying the registration fee. Required information will include final title and abstract and confirmed speakers (including photos and bios). Sessions missing any required information will not be placed on the agenda.

The draft agenda will be released on or around August 5. At this time, you will be provided your assigned time slot along with specific information on required presentation formats, A/V availability, etc.

We request all presentation and associated materials to be uploaded to the conference agenda site by October 4, 2019. We may make minor changes for layout and accessibility purposes.

Do speakers get paid or have conference fee covered?

Speakers are responsible for their own travel, accommodation, and conference fee.

How are the time slots determined? Can I request a time for my session to be scheduled?

We try to schedule the Summit agenda along track themes so that participants can attend all sessions of interest. Additionally, we do our best to ensure that organizations do not have multiple sessions occurring at the same time.

We will try to accommodate requests for days and/or times. However, given the number of sessions, this is not always possible.
